Privacy

Privacy statement. What this website records about you, and what it does not.

This statement is about the IDA Bomen website: what we process when you visit the site, request a demo or email us, and what we do with it.

  • No cookies, no tracking

The site sets no cookies and does not follow you. We count visits anonymously. That is why you see no cookie banner.

  • Your request arrives by email

The demo form and the handout form send your request to us as an email. The website has no database.

  • Only to answer you

We use your details to handle your request. We do not sell them or share them for advertising.

  • Your rights, with one email

Access, correction or erasure: email us and we take care of it.

What this statement covers

This privacy statement applies to the IDA Bomen website, in Dutch, English and German. It describes which personal data we process through the website, why, and which rights you have.

This statement does not cover the data in IDA itself, the product. We process that data on behalf of our customers, under the data processing agreement we conclude with each customer.

Who is responsible

IDA Bomen is the controller for the data we process through this website. For questions about privacy and to exercise your rights, reach us at info@idabomen.nl.

The demo form

On the page Book a demo you request a demo with a form. Your name, your organisation and your email address are required. Your phone number, the number of trees in your inventory, a message and the tick box saying you will send a file along are optional. You send a file yourself by email: the website accepts no uploads.

When you submit the form, the website turns your request into two emails: one to us, with your details, the language you viewed the site in and the time, and one to you, confirming what you submitted. Those emails are delivered by our mail provider Resend, which acts as a processor for us. The website itself does not keep your request: there is no database.

To prevent abuse of the form, the website checks how quickly it was filled in and whether a hidden field was left empty, and counts the number of requests per IP address. That count is held temporarily in the server’s memory and is not stored anywhere.

The handout form

On a Dutch page about IDA next to a BOR system (the register Dutch municipalities keep of their public space), you request a handout with a form. Your email address and your organisation are required.

When you submit the form, the website turns your request into two emails: one to us, with your email address, your organisation, the page, the language and the time, and one to you, with the link to the handout. Those emails are delivered by our mail provider Resend, which acts as a processor for us. The website itself does not keep your request: there is no database.

We may contact you once to walk you through the handout. You are not added to a mailing list and receive no newsletter. The form is protected against abuse in the same way as the demo form.

The film on the page about AI

The Dutch page about AI in tree management shows a film. Until you click play, the website loads nothing from YouTube: you see an image from the website itself.

When you click play, the YouTube player, a Google service, loads in its privacy-enhanced mode from youtube-nocookie.com. From that moment your browser connects to YouTube, YouTube may store data in your browser, and Google’s privacy policy applies. If you prefer not to, you can skip the film: everything in it is also on the page as text.

Email, applications and the calendar

When you email us, we process your email address and what you write to us in order to answer you. Applying for one of the open roles also goes by email. We use what you send us only for the application procedure.

The demo page has a link to our calendar at Calendly. It opens calendly.com in a new tab: the website loads nothing from Calendly. If you book a meeting there, Calendly’s privacy policy applies. The same goes for the link to our page on LinkedIn.

Cookies and tracking

The website sets no cookies. We use no tracking cookies and no advertising pixels. That is why you see no cookie banner: there is nothing to choose.

To see which pages are read, we count visits with Vercel Web Analytics, from the company that hosts the website. It works without cookies and does not recognise you on a later visit or on other websites. We see totals per page, the referring website, the country and the type of browser and device, and nothing about you as a person.

Fonts, images and videos come from the website itself, so your browser does not connect to other parties during a visit. The one exception is the film on the page about AI, and only when you play it yourself.

Server logs

To show you a page, the web server processes your IP address and the data of the request, such as the address requested, the time and your browser type. That is necessary to deliver and secure the website.

Purposes and legal bases

We process personal data only for the purposes below, on the legal bases of the GDPR.

  • Answering your demo request or your question and arranging the meeting: steps taken at your request prior to entering into a contract (Article 6(1)(b) GDPR) and our legitimate interest in answering questions about IDA (Article 6(1)(f) GDPR).
  • Sending you the handout and contacting you about it once: our legitimate interest in answering questions about IDA and explaining what you requested (Article 6(1)(f) GDPR).
  • Handling your application: steps taken at your request prior to entering into a contract (Article 6(1)(b) GDPR).
  • Delivering and securing the website, improving it with anonymous visit counts, and preventing abuse of the form: our legitimate interest in a secure, working website (Article 6(1)(f) GDPR).

We need the required fields of the form in order to answer you. We take no automated decisions about you and build no profiles.

Who we share data with

We share your data only with processors we need to send and receive email and to deliver the website. They process the data on our behalf. We do not sell your data and do not pass it on for advertising.

How long we keep data

We keep your data no longer than necessary to handle your request and its follow-up. If you want us to delete your data sooner, email us.

Your rights

Under the GDPR you have the right to access your data, to have it rectified or erased, to have the processing restricted, to object to it and to have your data transferred. Send your request to info@idabomen.nl. We always respond within the statutory period of one month, and usually much sooner.

If you disagree with how we handle your data, we would like to hear it from you first. You always have the right to lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens, or with the supervisory authority in your own country.

Changes

When the website or what we do with it changes, we update this statement. The date at the top shows when that last happened.
